Conference Rooms for All

Did you know our members have access to seven conference rooms, and they can use them at no charge? We don’t tie conference room hours to membership levels. Instead, we open the conference room to all of our members.

To book a room, our members use a scheduling tool called TeamUp so they can reserve them in advance. We also operate on the Golden Rule — use conference rooms as you prefer others to use them.

If you need to hop into a room to make or take a quick call, you’re more than welcome to do so. If, however, a member comes into the room and politely reminds you that they’ve reserved it, we ask that you to step out.

This system has worked really well since 2020. We think it has everything to do with the amazing community we’ve built at Groover Labs. Our members have a deep respect for each other and the dynamic work they’re doing.

What are your conference room options, and what do they cost?

We have seven conference rooms at Groover Labs:

  • Boardroom - seat up to 12 people at the table with extra chairs along the wall. $25/hr; free for members.

  • Four large conference rooms - seat up to eight people. $20/hr; free for members.

  • Two small conference rooms - seat up to four people. $15/hr; free for members.

Each conference room comes with the following features:

  • Large 4K HDTV with streaming capability and an HDMI connection

  • Large dry-erase boards with markers

  • Cameras available for Zoom calls.

We also have several call booths for use when it’s just you on a call.

Can I rent a conference room for the entire day?

You’re welcome to reserve conference rooms to suit your needs, although we keep an eye on this to ensure there’s enough inventory for everybody.

Can I rent a conference room at Groover Labs if I’m not a member?

You sure can! Our conference rooms are available for non-members. We want you to use them. If you’d like to rent a room, email contact@grooverlabs.org. We’ll work with you to learn what you need and how we can help.

Can I rent a conference room at night or over the weekend? 

Members with 24/7 access can use the conference rooms anytime. For non-members, there’s an additional $30/hr. fee on top of the hourly rate to cover the cost of staff. And before we book the room, we’ll have to check with the team to ensure someone can work during the requested times. We’re a small staff, but we’re usually able to accommodate your needs.

We need AV. Can you help?

We can. We’ve connected hundreds of devices to the different systems we have at Groover Labs. Macs are easiest. PCs are also easy unless you have sophisticated software installed by your organization that interferes with screen sharing. If presenting material on our HDTVs is essential to your meeting, we recommend you drop by to test the connection before the meeting. Here’s a link to our troubleshooting guide. That will give us plenty of time to troubleshoot if problems arise.

Can we bring in catering?

Absolutely. The best conference room for catering is the boardroom because it has a sideboard where you can set up your food. We don’t cater events, but we’re happy to work with any caterers you use to create a great experience. 

What if I need to cancel?

We have a one-week notification policy. If you cancel five business days before your meeting, we’ll refund your payment.
